Creating and Managing Email Templates in Intro XL
When to use: Email templates ensure consistent messaging to customers and save time by reusing prewritten content.
Templates can be used for both individual customer messages and mass email blasts.
Accessing Email Template Maintenance
- Go to the Admin tab.
- Select Email Template Maint.
The left side of the page displays all saved email templates for your company, and the right side provides space to create a new template.
Creating a New Template

- Template Name – For internal use only.
- Subject – This will be the email subject line the customer sees.
- Body – The exact wording the customer will receive. You can include placeholders (see below).
- Click Add to save the template.
Using Placeholders
Placeholders allow you to insert dynamic, borrower-specific or loan-specific information into your email body automatically.

To use a placeholder:
- Click on the desired placeholder from the list.
- It will be inserted at the cursor position in your email body.
Example:
Dear [First],
Thank you for being a valued customer of [StoreTitle].
We wanted to inform you that your payment of [Amount] has been returned by your bank.
Please contact us to make your payment. Our store phone number is [StorePhone].
We appreciate your immediate response.
[StoreTitle]
This ensures placeholders populate correctly and message content appears as intended.
